Privacy Policy
Draft of October 23, 2026
The short version
- Your answers, scores, letter, and plan are private to you. Your church never sees them.
- Your church sees team averages only, in groups of five or more, and whether you took it.
- We do not sell your information or use it for advertising.
- An AI helps write your letter and plan and answers you as the coach. It is sent your first name and your results, never your email.
- If what you answer or write sounds like you may be in danger, Tend360 shows you help right away and never tells anyone.
- Tend360 keeps how you use it, like how long a question took, never what you write. Research is a separate yes, off unless you say it.
- You can delete your account and what you have put into Tend360 at any time.
Who we are
Tend360 is offered by The Pastors Collective, a ministry to pastors based in Charleston, South Carolina (“Pastors Collective”, “we”, “us”). Cornerstone Industries builds and runs Tend360 for Pastors Collective and follows this policy too.
This policy covers the Tend360 website at tend360.life and the Tend360 phone app. It explains what we collect, why, who can see it, and what you can do about it.
What we collect
We only collect what Tend360 needs to work. You give us most of it yourself.
While you take the assessment, your answers and how long each question took are saved in your own browser so you can stop and come back. A copy of your finished report also stays in that browser until you sign out. On a shared computer, sign out when you are done.
Some of this is health information. Your answers describe your emotional, physical, and spiritual well-being. We treat all of it as sensitive, and we ask for your consent before you start.
How we use it
We use your information to:
- Score your answers and write your report, letter, and plan.
- Show you your home page, your progress, and suggestions from the Pastors Collective library.
- Run the AI coach, and the check-ins you sign up for.
- Show you ways to reach help right away if your answers or words sound like you may be in danger. We never tell anyone.
- Send you sign-in codes, short notes about your plan (never more than one a day), and up to four reminders when your 90-day check-in is due. Notes and reminders never mention your scores or answers.
- Show your church team averages, in groups of five or more.
- Keep Tend360 secure, and fix problems.
- Improve the questions and the service, using totals that do not identify you.
- With your separate yes, study your answers for research, under a random number in place of your name.
We do not sell your information. We do not use it for advertising. We do not share it with anyone to market to you.
Who can see it
The rules about your church are built into the database itself, so no church admin can read an individual’s answers or scores. Who sees what explains them in full.
Companies that help us run Tend360
A few companies store or carry your information for us. They may use it only to provide their service to us.
How the AI works with your information
Tend360 uses Google’s Gemini AI to write your letter and suggest plan steps, and Anthropic’s Claude AI to answer you as the coach. Gemini also reads what you write to the coach, to watch for signs that you may need care, to find passages in the library and to check the coach’s sources, and it answers you whenever Claude cannot. The coach always tells you it is an AI. It is not a counselor.
To do that, the AI is sent your first name, your scores and the answers behind them, your plan and your notes on it, your check-ins, passages from the Pastors Collective library, and what you write to the coach, with that day’s practice (its passage and the chapter around it) when you come to it from the daily practice, and that day’s chapters when you ask about your daily reading. It is never sent your email address or your last name, and never your practice notes, your gratitude, your letters to God, the thoughts you catch, or your prayer list.
One exception is yours to make. When you ask the coach to help write a text to someone on your prayer list, it is sent what you have written so far, only if you turn it on what you are praying for, and for a prayer, that day’s passage. The name, as it is written on your list, is taken out before anything is sent, and the draft is not kept. Tend360 never sends the text: you send it from your own phone or email.
We use Google’s paid Gemini service. Under Google’s terms for that service, Google does not use what we send to train or improve its products, and keeps it only for a limited time to detect abuse.
We use Anthropic’s commercial Claude service. Under Anthropic’s terms for that service, Anthropic does not use what we send to train its models, and deletes it within 30 days, unless a conversation is flagged for breaking its usage rules, when it may keep it for up to two years.
Care and crisis
Tend360 watches for answers or words that sound like you may be in danger. That means a few answers in the assessment that ask about serious strain, and what you write to the coach, in check-ins, and in your private notes, letters and caught thoughts.
When it sees them, it shows you ways to reach help right away. The help is the 988 Suicide & Crisis Lifeline, and 911 if you need help at once. It never tells anyone: not your church, your cohort, Pastors Collective, or your family. It cannot call for help for you.
For 7 days afterward, Tend360 steps back on its own: it leaves the daily practice out of your emails, puts care first in the app, and asks the coach to be gentle. To do that it keeps a private record that something came up, with none of your words. Only Tend360 itself reads it, and no one at your church or at Pastors Collective can see it.
Tend360 is not an emergency service. If you are in danger, call or text 988, or call 911.
Research
Research is a separate yes, off unless you tick it on the screen before the questions or turn it on in Settings. With it, Pastors Collective may study your answers, scores, and how you moved through the questions together with other pastors’, to learn what helps pastors flourish.
A research copy carries a random number in place of your name, never your name or email, the month you finished rather than the day, and your church’s short code only when at least five people from your church are in it. Of your device it carries only the kind and its settings, never your time zone.
You can turn research off in Settings at any time. Your answers are then left out of every research copy made after that. A copy made before carries no name and cannot be traced back to you.
How long we keep it
We keep your information while you have an account, so you can see your reports and check-ins over time.
When you delete your account, your answers, scores, reports, plan, check-ins, coach conversations, daily practice, daily reading, notes, gratitude, letters to God, caught thoughts, prayer list, requests, feedback, memberships, and the record of how you used Tend360 are removed from our database right away. Copies in our backups are replaced within a few weeks. Totals that no longer point to you, like how often a book was suggested, remain. If a church invited you, the church keeps its invitation, which holds your email address, until it removes it. If you started a cohort, deleting your account closes that cohort for everyone in it.
Your choices and rights
- See your information. Your report, plan, and check-ins are in your account. You can download your report as a PDF.
- Delete a conversation with the coach at any time.
- Delete a note, a letter or a caught thought from your notes, or a name from your prayer list, at any time.
- Stop any email we send you, except sign-in codes, with the link at the bottom of it or from your account page. Coach check-ins, notes about your plan, and check-in reminders each have their own switch.
- Share or stop sharing anything with a cohort.
- Say yes or no to research at any time, in Settings on the phone or on your account page.
- Delete your account and everything in it from your account page.
- Ask us for a copy of your information, to correct it, or to withdraw your consent, through Pastors Collective’s contact page.
Some states, including Washington, give residents specific rights over health information. We give these rights to everyone who uses Tend360, wherever they live.
How we protect it
Your information is encrypted as it travels and where it is stored. Each person’s rows in the database can be read only by that person and the few roles named above. You sign in with a one-time code, so there is no password to steal.
No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.
Age
Tend360 is for adults. You must be 18 or older to use it.
Changes to this policy
If we change this policy, we will post the new version here with a new date. If a change affects how we use information you have already given us, we will tell you by email first.
